Kolo uses two levels of access: your role in the organization and your permissions on an individual account.
Organization roles: Owner, Admin, User, and Employee
Account permissions for Users: Manage money, Manage members, and Issue cards
Card visibility: depends on your role and your permissions on the account
Organization Roles
Role | Access |
Owner | Full organization access. Manages Admins and can close the organization. Each organization has one Owner. |
Admin | Access to all accounts, cards, and transactions. Manages Users and Employees. Can’t manage the Owner or other Admins, or close the organization. |
User | Access depends on the accounts and cards shared with them. Has no organization-wide management access by default. |
Employee | A person added so cards can be issued in their name. Has no dashboard access to the organization. |
The Owner role can’t be transferred. An Owner can’t leave the organization.
Good to know: a team lead doesn’t need to be an Admin if they only need access to their team’s accounts.
Account Permissions for Users
Permission | What it allows | What it doesn’t add |
Manage money | View the account balance and account-wide transaction history. Deposit, transfer, exchange, and withdraw funds. Set spending priority. | Permission to issue cards or manage other members’ access. |
Manage members | Manage access to the account and see all cards on that account. | Access to the account balance or permission to issue cards. |
Issue cards | Issue cards within the member’s allowance and permitted spending limits. | Access to the account balance, all account transactions, or other members’ access settings. |
These permissions can be combined. Giving someone all three doesn’t make them an organization Admin or give them access to other accounts.
Only an Owner or Admin can change the account that funds a card. Account permissions alone don’t grant this action.
Card Visibility
Who | Cards they see |
Owner and Admin | All cards |
User with Manage members | All cards on that account |
Other Users | Their own cards and cards assigned to them |
A cardholder and an assignee are different. See Assign People to a Card.
